- Link to a contact form: directing the clinical query to a secure channel (encrypted web form) rather than handling it via WhatsApp.
What you must not do
- Send test results or diagnoses via WhatsApp: this is a direct security breach and a GDPR infringement.
- Add patients to WhatsApp groups where other patients can see who is in the group.
- Use WhatsApp for mass communications without prior consent for that specific channel.
- Store conversations containing clinical information as part of the patient's record.
Appointment reminders via WhatsApp: how to do it right
The appointment reminder is the most requested use case and also the safest if done correctly. The key lies in what information you include and in having the patient's documented consent to receive communications via that channel.
A correct reminder looks like this: «Hi [name], this is a reminder of your appointment at [clinic name] on [day] at [time]. If you need to cancel, reply to this message or call [phone number].» Nothing more. No mention of the type of consultation, the treatment or any health data.
Consent to receive these reminders must be collected in writing, typically in the first appointment form or in the informed consent, with explicit indication that communications will be sent via WhatsApp.
How much do WhatsApp reminders reduce no-shows?
